Definition
Applicant: Organization applying for management system certification by HIBO ISO Certifications.
Client: the Organization has contracted with HIBO ISO Certifications for management system certification services.
Initial Enquiry Form: Document used to gather and record client specific information necessary to make an informed decision regarding the requisite competence required to conduct an effective audit.
Assessment Review Report: the self-assessment form for a particular standard which must be completed by an applicant prior to certification.
Assessor: the suitably qualified person appointed by HIBO ISO Certifications to review application material.
Certificate: a certificate recognizing that the Assessment Review Report or onsite assessment of the applicant’s systems, having been assessed by HIBO ISO Certifications is in accordance with the relevant standard and these regulations.
Logo: the insignia that is allowed to be displayed once a certificate has been issued.
Certification: In order to obtain and retain certification all applicants and clients to the scheme must adhere to the following rules of the scheme.
All information deemed necessary by HIBO ISO Certifications in order to complete the assessment should be made available by the applicant through the applicable initial enquiry form.
HIBO ISO Certifications will run the scheme in transparent and fair manner without prejudice and discrimination of any applicant due to its size, type of business, financial or political background.
HIBO ISO Certifications shall be responsible for complete process and all activities of certification, of the client's Management System through the assessment evaluation.
The evaluation shall be conducted against the applicant's statement of their procedures implementation and the requirements of internationally accepted:
- Product certification schemes,
- Management system standards
- Applicable legislations and Directives
- And/or sector schemes’ series of documents.
HIBO ISO Certifications shall inform the client of the evaluation results and if not satisfied that all the requirements for the certification are being met, shall inform the client of those aspects in which the application is deemed non-compliant.
When the client will agree that effective remedial action will be taken to meet all the requirements within a specified time limit, HIBO ISO Certifications will review the statement of the action and determine the suitability of awarding certification.
Certificates will only be issued where HIBO ISO Certifications is satisfied that the full criterion of the application process has been satisfactorily completed.
An assessment visit may be conducted at the discretion of HIBO ISO Certifications.
It may be necessary for HIBO ISO Certifications to conduct audits of certificated clients at short notice visit to investigate complaints. Under such circumstance HIBO ISO Certifications shall exercise additional care in the assignment of the audit team.
Certificates will be issued for a period of 12 months, subject to the client continuing to meet the certification requirements detailed within the rules & regulations.
The certificate will remain the property of HIBO ISO Certifications and shall always be returned on request.
An organization that holds a certificate must:
a. Only use the certificate and logo in accordance with the standards to which they have been a certificate and not use them in a misleading manner.
b. Ensure that the organization maintains its adherence to the requirements of the standard(s) that are covered by a certificate(s).
c. Pay all fees due for services supplied.
d. Respond to requests for information relating to the application process and its continuing maintenance.
e. Shall maintain a log of all customer complaints they receive which fall within the scope of registration for which a certificate has been awarded. The details responding actions against these customer complaints shall be available to HIBO ISO Certifications.
A client has the right to publish that the product, process or service and company have been certified by HIBO ISO Certifications and apply certification mark to promotional materials for which the certificate applies.
In every case, the client shall take sufficient care of its publications and advertising so that no confusion arises between management system certification and specific product certification, certificated and non-certificated business scopes covering product and/or services, which may mislead the market.
The client shall not make any claim that could mislead purchasers to believe that a product, process, service, site or organization is covered by the certification when in fact it is not.
HIBO ISO Certifications shall undertake duties in accordance with the services offered on the website and other informational material including assessment of documentation and issue of certificates and communication in relation to this service.
HIBO ISO Certifications reserves the right to make minor changes and corrections to these Rules & Regulations without prior notification.
Clients will be given prior notice of any changes that affect their responsibilities or liabilities.
Non-confidential information relating to the client / organization may be placed in the public domain by HIBO ISO Certifications.
HIBO ISO Certifications shall endeavour to ensure that its employees and contractors maintain secrecy concerning all confidential information with which they become acquainted as a result of their contacts with the client.
The client shall maintain confidentiality of all commercial terms and conditions with HIBO ISO Certifications for certification services.
Information about a particular client of individual shall not be disclosed to any third party without the written consent of the client or individual concerned.
Where HIBO ISO Certifications is required by law to release confidential information to a third party, the client or individual concerned shall, unless regulated by law, be notified in advance of the information provided.
HIBO ISO Certifications shall take all reasonable precautions to control the use of its certificates by the certificated clients.
Incorrect references to certifications or misleading use of certificates found in advertisements; catalogues, etc. shall be dealt with by suitable actions, which could include legal or corrective action or publicizing the transgression.
In the event of a registered organization or applicant wishing to appeal against any decision of the certification board under these regulations, it shall be within 14 clear days after having been officially informed of such a decision, giving notice in writing to the HIBO ISO Certifications of its desire to appeal against that decision. HIBO ISO Certifications shall then determine its validity in conjunction with the opinion of one or more relevant assessors. A decision by the HIBO ISO Certifications is final.
A list of organizations holding a certificate (including the relevant standard) may be listed by HIBO ISO Certifications.
